Create and manage projects
Projects give a topic, client, team, or research question its own workspace. Keep related files and conversations together, reuse the same evidence across requests, and choose whether the project is private or shared with your company.

When a project is useful
Create a project when the work will take more than one request or when the files need to remain available for follow-up analysis. Projects are especially useful for:
- A research question that needs several sources and multiple rounds of comparison
- A video, audio, or document collection that you will revisit
- Large files or groups of files that are too much for a quick chat attachment
- A client, team, course, case, or topic that needs its own evidence workspace
- Work that should be shared with people in your company

Projects can be created automatically
You do not always need to create a project first. When you add files from an empty dashboard chat or an empty Agent Chat, Pelayar can create a new private project automatically and move the files into it when the request needs project processing.
- From the dashboard: project creation is triggered for video, audio, Excel/CSV, YouTube links, more than three documents, or a file larger than 5 MB.
- From Agent Chat: project creation is triggered for several files, common video or audio files, spreadsheets, YouTube links, or attachments that exceed the quick-chat size limits.
Pelayar shows a “Creating project and uploading files” or “Processing files” status while this happens. The project context is then attached to the chat, the files remain available for follow-up questions, and you can open the project from the new project link. If the upload cannot be completed, the chat displays the error so you can retry or create the project manually.
Create a project
- Open Projects from the dashboard.
- Select Create Project.
- Give the project a clear name, such as “Q3 customer interviews” or “Tennis serve review”.
- Add an optional description explaining the question, audience, or intended outcome.
- Choose the privacy setting before creating it.
- Upload the documents, media, spreadsheets, images, or other evidence that belong together.
- Open the project’s Agent Chat and start asking questions once the files appear.
Choose project privacy
- Private: visible only to you.
- Company: visible to people in your company according to the project’s access rules.
Use Private for personal work or sensitive research. Use Company when teammates need to view the project, its conversations, and its processed evidence. Only share files you are authorized to use, and review the privacy setting before adding confidential material.
Add and reuse evidence
- Use the project upload control to add files after the project is created.
- Wait for each file to finish processing. A file that is still processing may not be ready for grounded answers.
- Open the project’s file panel to search filenames and review available sources.
- In Agent Chat, type @ to choose the project or focus a request on one specific project file.
- Ask follow-up questions in the same project so Pelayar can reuse the existing context and evidence.
Project files can remain useful across different requests. For example, you can upload match footage, a transcript, coaching notes, and a spreadsheet of observations, then ask separate questions about technique, patterns, and recommendations without uploading everything again.
Work with project conversations
Use the project chat for questions that depend on the project’s sources. Start broad, then narrow the request to a file, player, time period, or finding. Ask Pelayar to cite the relevant evidence, include timestamps for video claims, or turn the reviewed findings into a report, presentation, spreadsheet, or document.
Manage a project over time
- Update the project name or description when the scope changes.
- Keep one subject or outcome per project so search results and citations stay understandable.
- Use descriptive filenames and avoid adding duplicate versions unless the differences matter.
- Review who can access a Company project and remove access when someone no longer needs it.
- Keep sensitive or unrelated files in separate Private projects.
If a project file is missing
Refresh the project and check that processing has finished. Search by the exact filename, confirm that you are viewing the correct project, and make sure the file was not uploaded to a different conversation. If it still does not appear, upload it again or contact support with the project name, filename, size, and upload time.
